Standard Terms and Conditions for Veterinary Services of LLC Vetmir (Shunn u Katun Clinic)

1.1. These Standard Terms and Conditions for Veterinary Services (hereinafter referred to as the "Terms") regulate the procedure for providing veterinary services by Shunn u Katun Clinic (LLC Vetmir) to animal owners (hereinafter referred to as the "Clients"). The Terms are an integral part of the agreement between the Clinic and the Client and are intended to ensure transparency and understanding of the fundamental provisions for service provision. These Terms cover all aspects of the interaction between the parties, ensuring clarity and certainty in the process of providing veterinary services. The Clinic strives to maintain a high level of trust and mutual respect between Clients and staff, which contributes to creating a comfortable and safe environment for the treatment of animals.

1.2. The agreement concluded with the Client includes the main provisions of the interaction between the parties and refers to these Terms published on the Clinic’s website and in the service area. By signing the agreement, the Client confirms their consent to these Terms and agrees to adhere to them throughout the entire period of interaction with the Clinic. In turn, the Clinic commits to providing services at a high professional level, corresponding to the accepted standards of veterinary practice. Publishing the Terms on the website and in the service area allows Clients to familiarize themselves with the current information at any time and stay informed about all changes.

1.3. The Clinic provides veterinary services in accordance with the legislation of the Republic of Armenia, adhering to ethical norms and veterinary medical standards. The main goal is to provide quality veterinary care that contributes to improving the health of animals and meeting the needs of their owners. The Clinic makes every effort to ensure the safety and comfort of animals, as well as to provide Clients with complete and accurate information about the health status of their pets.

1.4. The Terms may be amended by the Clinic at any time. The current version of the Terms is available on the Clinic’s website and in the service area. Clients are responsible for independently monitoring changes and taking them into account when seeking services. Changes to the Terms are made to improve the quality of service, comply with legislative changes, or respond to the needs of Clients. The Clinic notifies Clients of significant changes by posting relevant notices on the website and in the service area. Clients should regularly check the validity of the Terms to avoid misunderstandings when receiving services.

1.5. These Terms regulate all aspects of the interaction between the Clinic and the Client, including appointment scheduling, payment procedures, personal data processing, as well as the rights and obligations of the parties. The Clinic is obligated to provide veterinary services in compliance with all safety requirements and professional ethics, and the Clients are obligated to follow the recommendations and instructions of the Clinic’s specialists. All conditions are aimed at ensuring the most effective and safe treatment of animals, as well as creating trusting relationships between the Clinic and the Clients. The Clinic reserves the right to restrict or terminate the provision of services in the event of the Client’s non-compliance with the Terms, which is an important measure to maintain a high level of service and safety.

2.1. Clinic — Shunn u Katun Veterinary Clinic (LLC Vetmir), providing veterinary services to pet owners.

2.2. Pet Owner (Client) — An individual or legal entity who has approached the Shunn u Katun clinic to obtain veterinary services for their domestic animal.

2.3. Pet — A domestic animal for which the clinic’s services, including treatment or examination, are provided.

2.4. Veterinary Services — A set of activities provided by the clinic, including diagnostics, treatment, prevention, vaccination, surgical operations, consultations, and other services aimed at improving the pet’s health.

2.5. Terms — These Standard Terms and Conditions for Veterinary Services, which are an integral part of the agreement between the Clinic and the Client.

2.6. Agreement — The contract between the Clinic and the Client that regulates the provision of veterinary services, the rights and obligations of the parties, and other matters related to service provision.

2.7. Emergency Assistance — Veterinary services provided by the clinic in urgent situations that require immediate medical intervention to save the pet’s life or health. Clients can request emergency assistance by contacting the clinic through the Telegram messenger or by visiting the clinic in person.

2.8. Laboratory Tests — Analyses and diagnostic procedures performed both within the clinic and with the involvement of external laboratories to assess the pet’s health status.

2.9. Mediator — A third party engaged to facilitate the pre-trial resolution of disputes between the Clinic and the Client. The mediator is chosen by mutual agreement of the parties, and the costs of their services are shared equally by the Clinic and the Client unless otherwise agreed.

2.10. Personal Data — Information related to an individual (pet owner) that can be used for their identification, including name, contact details, information about the pet, and other data necessary for providing veterinary services.

2.11. Complaint — A written appeal from the client to the clinic aimed at resolving disputes or expressing grievances related to the provision of veterinary services.

2.12. Pre-Trial Resolution — The process of resolving disputes between the Clinic and the Client before resorting to court, including negotiations, the use of a mediator, and other available measures to reach an agreement.

2.13. Third-Party Providers — Organizations or specialists engaged by the clinic to provide services such as laboratory tests or other specialized procedures that cannot be performed within the clinic.

3.1. The Shunn u Katun Clinic (LLC Vetmir) provides a wide range of veterinary services for domestic animals, including preventive, diagnostic, therapeutic, and surgical measures. All services are aimed at maintaining the health of pets, timely diagnosis of diseases, and their effective treatment. The clinic’s goal is not only to treat existing diseases but also to prevent them, which minimizes health risks for animals and ensures their longevity and quality of life. We also provide individualized care plans for each pet based on their age, breed, and health condition.

3.2. Consultations and Examinations. These include initial and follow-up consultations with a veterinarian, examinations of animals to identify possible diseases or assess their overall health status, as well as recommendations for care and nutrition. Consultations can be conducted both in the clinic and remotely (online consultations) by appointment. The veterinarian pays attention to every aspect of the pet’s health, including nutrition, physical activity, and general living conditions, which helps prevent many diseases and maintain a high level of health.

3.3. Diagnostic Services. The clinic provides laboratory and instrumental studies, including complete and biochemical blood tests, ultrasound examinations (US), radiography, microbiological analyses, and other diagnostic procedures. Laboratory tests are conducted both in the clinic and with the involvement of external laboratories. We use modern equipment to ensure accurate results, allowing our veterinarians to make correct diagnoses and develop effective treatment plans. Diagnostic procedures may also include urinalysis, fecal examination, cytology, and other studies that help determine the condition of the animal’s internal organs and systems.

3.4. Therapeutic Measures. These include the treatment of acute and chronic diseases, administration of injections, infusion therapy, prescription of medications, and monitoring the animal’s health status. Treatment is aimed at alleviating symptoms, stabilizing the condition, and restoring the pet’s health. Our veterinary specialists develop individualized treatment protocols, taking into account all aspects of the pet’s health, and provide detailed instructions to owners for home care. Therapeutic measures also include physiotherapy, the use of modern medications, and monitoring the effectiveness of therapy to achieve the best results.

3.5. Preventive Measures. These include vaccination, deworming, ectoparasite treatments, as well as conducting preventive examinations. These measures help prevent the development of diseases and maintain the health of pets at a high level. Regular vaccination ensures protection against dangerous infections, while deworming and parasite treatments prevent infestations by helminths and other pests. Preventive examinations allow for the timely detection of potential problems and the implementation of measures to eliminate them before serious complications arise.

3.6. Surgical and Inpatient Services. The clinic provides surgical assistance, including planned and emergency operations. If necessary and possible, the pet may be admitted to the inpatient facility for observation and treatment. Inpatient care ensures round-the-clock monitoring and control of the pet’s condition during the postoperative period or in case of acute illness. We use modern anesthesia and monitoring methods to ensure safety and minimize the risk of complications during surgery. In the inpatient facility, our veterinary specialists provide comfortable conditions, constant monitoring of the animal’s condition, and necessary support during the recovery period.

3.7. Palliative Care. The clinic provides support for animals with incurable diseases, aimed at reducing pain and improving the quality of life. Palliative care focuses on creating comfortable conditions for the pet and supporting its owners during a difficult period. We offer a comprehensive approach, including medication therapy for pain relief, recommendations for nutrition and care, as well as psychological support for owners, which helps create the most comfortable conditions for the pet during the final stage of its life.

3.8. Emergency Veterinary Assistance. In case of urgent situations, the clinic provides emergency veterinary assistance if a veterinarian is available. The service includes stabilizing the animal’s condition, providing first aid, and conducting emergency diagnostic and therapeutic measures. We understand the importance of a swift response in critical situations, which is why, in case of emergencies, our specialists do everything possible to stabilize the pet’s condition and provide the necessary support.

3.9. Other Services. The clinic also offers animal care services, including grooming, nail trimming, and other procedures. These services help maintain the appearance and overall well-being of pets. Regular care of the fur and nails not only contributes to a beautiful appearance but also prevents the development of various skin diseases. We provide an individualized approach to each pet, taking into account their characteristics and preferences, which makes the care procedure comfortable and safe.

All the listed services are provided in accordance with high veterinary medicine standards, considering the individual needs of each pet. We strive to ensure that every pet receives the highest quality and comprehensive veterinary care, and their owners receive the necessary information and support at all stages of treatment and care for their animal.

4.1. Appointment Scheduling. To receive veterinary services, Clients must make an appointment in advance. Appointments can be made by phone, through the Clinic’s website, or in person at the service area. When scheduling an appointment, Clients are required to provide complete and accurate information about their pet, including its age, gender, species, medical history, and any specific complaints. The Clinic reserves the right to refuse an appointment or change the appointment time if necessary.

4.2. Confirmation and Modification of Appointments. The Clinic confirms appointments via phone call or email. In the event of a change or cancellation of an appointment, the Client must notify the Clinic no later than 24 hours before the scheduled time. The Clinic also reserves the right to modify or cancel an appointment in case of unforeseen circumstances, such as the unavailability of a necessary specialist or other emergency situations.

4.3. Reception at the Clinic. Clients are required to arrive at the Clinic 10−15 minutes before the scheduled appointment time to register and prepare their pet for examination. Clients should be aware that scheduled appointments may be delayed or canceled at the Clinic’s initiative due to unforeseen circumstances or the arrival of a patient in critical condition requiring emergency intervention. Walk-in appointments are handled on a first-come, first-served basis and depend on the availability of specialists' time slots. This allows assistance to be provided in cases where Clients were unable to schedule in advance. During the appointment, the veterinarian examines the animal, identifies complaints, and decides on the necessity of additional diagnostic or therapeutic procedures. The Client is obliged to follow the instructions of the Clinic’s personnel to ensure the safe and effective provision of services.

4.4. Home Visits. In cases where visiting the Clinic is impossible due to objective reasons, Clients may request veterinary services at home. Home visits are possible provided that a specialist is available and the necessary equipment is on hand. The Clinic reserves the right to refuse home visits if the conditions for conducting examinations and treatments do not meet safety and effectiveness standards.

4.5. Payment for Services. Payment for provided services is made either before the start of treatment or immediately after its completion. The Clinic accepts cash and non-cash payments, as well as provides the option to pay through the website. In cases where additional procedures or services are required that are not included in the initial cost, the Client must agree to and pay for them separately.

4.6. Refusal of Services. The Clinic reserves the right to refuse services if the Client violates these Terms, as well as in cases of aggressive behavior by the animal that may pose a danger to staff and other patients. In the event of refusal to provide services, the Client will be notified of the reasons for refusal and, if necessary, referred to another veterinary clinic.

4.7. Completion of Services. Upon completion of treatment or diagnostic procedures, the veterinarian provides the Client with information about the pet’s health status, further recommendations, and necessary care. The Client receives examination results, medical conclusions, and, if necessary, prescribed medications. The Client is obliged to follow the veterinarian’s recommendations to ensure the health and well-being of the pet.

6.1. Determination of Service Costs

6.1.1. The cost of veterinary services at the "Shunn u Katun" Clinic (LLC "Vetmir") is determined based on the type of service provided, the complexity of the procedures performed, as well as the medications and materials used. The veterinary clinic is obliged to provide information about service costs in advance, before the commencement of veterinary care. All service prices are set in accordance with the internal rates approved by the Clinic’s management and may be revised depending on changes in the economic situation and increases in the prices of materials and equipment.

6.1.2. For the convenience of Clients, a price list for the main services is posted on the Clinic’s website and is also available in the service area. If necessary, the veterinarian may provide additional information about the cost of specific procedures that may be required during the course of treatment or diagnostics.

6.2. Prepayment and Final Settlement

6.2.1. For certain types of services, a prepayment may be required. The prepayment is made before the commencement of procedures, in an amount agreed upon between the Clinic and the Client, and depends on the complexity and duration of the planned treatment.

6.2.2. The final settlement is made after the completion of all procedures and the provision of necessary services. The Clinic accepts various forms of payment, including cash, bank cards, as well as online payments through the website. Clients are provided with a receipt or another document confirming the payment.

6.2.3. In the event that additional procedures or services, not included in the initial cost, are required, the Clinic is obliged to notify the Client in advance and agree on all financial matters with them before commencing the additional procedures.

6.3. Discounts and Promotions

6.3.1. The "Shunn u Katun" Clinic offers various types of discounts and promotions to its Clients. Information about current discounts and promotions is posted on the website and in the service area. Discounts may be provided for regular clients, when availing a package of services, as well as for certain categories of the population (e.g., pensioners or persons with disabilities).

6.3.2. Promotions and special offers have a limited duration and may be changed or canceled by the Clinic at any time. Clients should verify the validity of promotions and discounts at the time of inquiry.

6.3.3. Discounts and promotions are not cumulative unless otherwise specified in the terms of a particular offer. The Clinic reserves the right to set individual conditions for providing discounts depending on specific situations and the needs of Clients.

7.1. Conditions for Canceling and Rescheduling Appointments

7.1.1. Clients may cancel or reschedule an appointment by notifying the Clinic no later than 24 hours before the scheduled time. Cancellation or rescheduling can be done by phone, through the Clinic’s website, or in person at the service area. Timely notification allows Clients to avoid possible fines and enables the Clinic to redirect resources to serve other patients.

7.1.2. In the event that the Client does not notify the Clinic of rescheduling or canceling the appointment in advance (less than 24 hours), the Clinic reserves the right to charge a penalty or retain the previously made prepayment as compensation for the reserved time. Such measures are aimed at minimizing the Clinic’s losses and ensuring the availability of services for other clients.

7.1.3. In exceptional cases, such as emergency circumstances, the Clinic may accommodate the Client and reconsider the conditions for canceling or rescheduling the appointment. The Client is obliged to provide supporting documents or other information explaining the reason for cancellation promptly.

7.2. Consequences of Cancellation

7.2.1. In case of canceling an appointment without proper notification, the Clinic reserves the right to refuse future appointments for services. Repeated instances of cancellation without prior notice may lead to restrictions on the Client’s ability to use the Clinic’s services in the future.

7.2.2. When canceling procedures that required special preparation by the Clinic (e.g., surgical operations), the Client may be obliged to reimburse the costs of preparation, including used materials and specialists' time.

7.2.3. The Clinic reserves the right to cancel or reschedule an appointment for objective reasons, such as the unavailability of a specialist, technical malfunctions, or other unforeseen circumstances. In such cases, the Client will be notified as soon as possible, and the appointment will be rescheduled to a time convenient for the Client.

8.1. Clinic’s Responsibility for Providing Services

8.1.1. The Shunn u Katun Clinic (LLC "Vetmir") is responsible for providing high-quality veterinary services in accordance with the current standards of veterinary medicine and the legislation of the Republic of Armenia. The Clinic’s veterinarians and staff are obliged to use all available methods and knowledge for diagnosing and treating animals to ensure their health and safety.

8.1.2. The Clinic is obliged to inform the pet owner about the possible risks associated with procedures and treatments, as well as to take all possible measures to minimize these risks. In the event of complications during treatment, the Clinic is obliged to immediately notify the pet owner and provide all necessary recommendations and assistance.

8.1.3. The Clinic is responsible for the correct and careful handling of animals, as well as for the safekeeping of the owners' property left during treatment. In case of incidents related to property damage or the deterioration of the animal’s condition due to the Clinic’s fault, the Clinic is obliged to compensate for the damages in accordance with the current legislation.

8.1.4. The Clinic is not liable for cases where the owner refuses the recommended treatment or does not follow the veterinarian’s prescriptions. Additionally, the Clinic is not responsible for receiving inaccurate information and data from third-party providers and laboratories engaged for conducting diagnostic studies. In such situations, the responsibility for the pet’s health condition lies entirely with the owner.

8.2. Pet Owner’s Responsibility

8.2.1. The pet owner is responsible for providing complete and accurate information about the pet’s health, previous treatments, allergies, and any other characteristics that may affect the treatment process. Inaccurate information may lead to incorrect diagnoses and complications, for which the Clinic is not responsible.

8.2.2. The owner is obliged to follow all recommendations and prescriptions of the veterinarian, including care instructions for the animal after procedures. Non-compliance with recommendations may lead to the deterioration of the pet’s condition, for which the Clinic is not responsible.

8.2.3. The owner is obliged to ensure the safe behavior of the pet within the Clinic’s premises to eliminate possible threats to the staff, other animals, and visitors. In case of aggressive behavior by the animal, the owner is responsible for any damage caused by the pet.

8.3. Possibility of Fatal Outcomes During Treatment

8.3.1. The Clinic informs pet owners that during treatment or procedures, especially those involving surgical interventions, anesthesia, emergency medical assistance, or complex therapeutic measures, there is a risk of fatal outcomes. This risk may be due to the individual characteristics of the animal’s organism, the presence of hidden pathologies, reactions to medications and anesthesia, and other factors that may not manifest during preliminary examinations. It is important to note that even with the most thorough examinations and preparations, some risks may remain unpredictable due to the unique characteristics of each organism.

8.3.2. The Clinic is committed to minimizing the risk of fatal outcomes by conducting examinations, using modern anesthesia methods, employing qualified specialists, and monitoring the pet’s condition at all stages of treatment. Postoperative monitoring is provided to reduce the risk of complications.

8.3.3. The Clinic provides pet owners with detailed information about upcoming procedures, including potential risks and precautionary measures that need to be taken. Owners have the right to ask questions and clarify treatment details to understand the possible consequences and the degree of risk. If necessary, the veterinarian may provide additional consultations or recommend conducting further examinations for a more comprehensive understanding of the pet’s condition.

8.3.4. The pet owner is responsible for adhering to all prescriptions and recommendations of the veterinarian before and after procedures. This includes providing the animal with necessary medications, special nutrition, restricting physical activity, and other prescribed measures. Non-compliance with recommendations may increase the risk of complications and fatal outcomes, for which the Clinic is not responsible. The owner must also ensure conditions to minimize the pet’s stress during the postoperative period, which can significantly affect the pet’s recovery and reduce the likelihood of complications.

8.3.5. In the event of a fatal outcome caused by complications, the Clinic is obliged to provide the pet owner with all necessary information and a report on the measures taken, including a description of the actions performed and the factors that influenced the treatment outcome. This is aimed at ensuring transparency in the process and informing owners about all aspects of the treatment.

8.3.6. The Clinic recommends that pet owners sign an informed consent form before undergoing complex procedures to ensure that all risks and possible consequences have been fully explained and understood by the owner. Informed consent helps establish transparent relations between the Clinic and the owner, ensuring a complete understanding of all stages of treatment. The owner may request a copy of this document for personal use.

9.1. Limitations Based on Pets' Health Conditions

9.1.1. The Shunn u Katun Clinic reserves the right to refuse services if the pet’s health condition does not allow for the safe execution of the procedure. The evaluation criteria include the presence of chronic diseases, exacerbation of acute conditions, allergic reactions to medications, weakened immune systems, as well as other factors increasing the risk to the pet’s life and health. The Clinic’s veterinarians are obliged to assess the risk to the pet’s life and health before commencing treatment and, if necessary, recommend alternative treatment methods or refer the owner to specialized specialists.

9.1.2. Animals with chronic diseases or in critical condition may require specialized treatment that cannot always be provided within the Clinic’s facilities. Owners are required to provide a complete medical history of the pet to assess the feasibility of safely providing services. The Clinic may verify the accuracy of the provided information by consulting with previous veterinarians and analyzing medical documents, which helps increase the owners' confidence in the accuracy of the assessment.

9.1.3. In the event of identifying pathologies that pose a high risk to the pet’s life during the planned procedure, the Clinic has the right to cancel the procedure and offer the owner alternative treatment options that may be safer for the animal.

9.2. Conditions for Providing Emergency Services

9.2.1. The Clinic provides emergency veterinary services when a specialist and the necessary resources, such as equipment, medications, and available facilities for conducting procedures, are available. Priority is given to the most critical cases requiring immediate intervention. Owners should understand that during high-demand periods, emergency assistance may be limited.

9.2.2. When providing emergency services, the Clinic may not always be able to conduct a full examination of the pet before initiating treatment due to the urgency of the intervention. In such cases, veterinarians make decisions based on the available information, which may increase the risk of complications. The Clinic is not liable for complications caused by the necessity of immediate intervention. However, the Clinic takes all possible measures to minimize risks, including using modern diagnostic methods, applying verified medications, and involving qualified specialists to assess the pet’s condition under time constraints.

9.2.3. In emergency situations, owners may be asked to sign a consent agreement for the performance of emergency procedures to confirm their awareness of the possible risks and the necessity of immediate treatment. The agreement should mention risks such as the possibility of complications, allergic reactions to medications, unforeseen consequences of surgical interventions, and the likelihood of fatal outcomes. Such an agreement helps establish mutual understanding and provides legal protection for the Clinic in the event of an unfavorable outcome.

10.1. Consent to Data Processing

10.1.1. By contacting the Shunn u Katun Clinic (LLC "Vetmir"), the pet owner provides consent to the processing of personal data. The data includes last name, first name, contact information (phone number, email), as well as information about the pet necessary for providing veterinary services. Consent is granted for the entire duration of the services provided, as well as for the required period after the completion of treatment (no more than five years) to fulfill obligations stipulated by the legislation of the Republic of Armenia.

10.1.2. The owner has the right to withdraw their consent to the processing of personal data at any time by sending a written notification to the clinic. The clinic is obliged to confirm receipt of the notification within 10 working days and complete the withdrawal process by providing the owner with appropriate confirmation. However, in the event of consent withdrawal, the clinic may be unable to provide certain services that require data processing.


10.2. Purposes and Legal Grounds for Processing
10.2.1. Personal data are processed for the purpose of providing veterinary services, including appointment registration, informing about the pet’s condition, sending test results, as well as fulfilling contractual obligations between the clinic and the pet owner.

10.2.2. Personal data may also be processed for the purpose of informing owners about current promotions, discounts, special offers, and other clinic services. The owner may opt out of receiving advertising information at any time by sending a written notification to the clinic or by using the corresponding link in electronic communications.

10.2.3. The legal grounds for processing personal data include the fulfillment of the contract between the clinic and the owner, the execution of obligations stipulated by the legislation of the Republic of Armenia, as well as the owner’s consent provided in accordance with the requirements of personal data protection laws.

10.2.4. The clinic is obliged to ensure the confidentiality and security of personal data, implementing appropriate technical and organizational measures to prevent unauthorized access, alteration, or loss of data. These measures include the use of data encryption, restricting access to information only to authorized personnel, regularly updating software, and conducting security audits.

11.1. Pre-Trial Resolution

11.1.1. All disputes and disagreements arising between the client and the Shunn u Katun Clinic (LLC "Vetmir") in connection with the provision of veterinary services are subject to pre-trial resolution. The parties are obliged to undertake all possible measures to reach an agreement through negotiations and discussions, including organizing meetings, exchanging written proposals, and using a mediator or consultant to find compromise solutions.

11.1.2. In the event of a dispute, the client must send a written appeal to the clinic, describing the essence of the claim and providing the necessary evidence. The clinic is obliged to review the appeal and provide a written response within 30 calendar days from the date of receiving the complaint. The response will be provided via email or postal mail, depending on the client’s preferences.

11.2. Procedure for Filing a Complaint

11.2.1. If the client is not satisfied with the results of the pre-trial resolution, they have the right to file a complaint with the relevant state authority responsible for consumer rights protection in the Republic of Armenia. Contact information for filing a complaint is provided by the clinic upon request or is available on the website in the 'Contacts' section, or by phone at +374 55 895 495.

11.2.2. The complaint must include the client’s full name, contact information, a description of the dispute’s essence, as well as the measures taken for pre-trial resolution. The clinic is obliged to provide all necessary documents and explanations upon request by the state authority to assist in reviewing the complaint. Documents can be provided electronically or on paper, depending on the requirements of the state authority.

11.2.3. In the event that the dispute cannot be resolved through pre-trial means, the parties have the right to appeal to the court in accordance with the legislation of the Republic of Armenia. Disputes are to be heard in the courts located where the clinic is situated, unless otherwise agreed by the parties in exceptional cases.

12.1. Amendments to the Terms

12.1.1. The Shunn u Katun Clinic (LLC Vetmir) reserves the right to make changes to these veterinary service terms. The updated terms come into effect upon their publication on the clinic’s website, unless otherwise specified in the updated terms. The clinic is obliged to notify clients of significant changes to the terms through the website.

12.2. Term of Effectiveness of the Terms and Update Procedure

12.2.1. These terms are effective until they are replaced by new ones.
